Setting up an account

We need your company registration details, a billing address, and a named contact who is authorised to book. Once that is on file, anyone you nominate can book by phone or message without going through payment each time, and we invoice against the account.

Payment terms are agreed at setup. For established accounts we work to standard invoice terms; for first bookings with a new company we usually ask for payment on delivery or a deposit, which is normal practice and not a comment on your business. After a couple of clean bookings that changes.

Every invoice itemises the car, the dates, the rate, SST and any tolls or fuel recharged. Your finance team gets a document they can process without ringing us for clarification, which is the main thing most corporate clients actually want from a rental supplier.

The cars that work for business

For client-facing work without extravagance, the Mercedes-Benz C300 and BMW 330i at RM1,000 a day are the standard picks, with the Lexus IS300 at RM880 as the quieter, cheaper alternative. All three read as professional at a client's guardhouse and none of them raise questions on an expense report.

For senior visitors, the BMW i7 or 750e at RM2,500, the Range Rover Vogue at RM4,499 or the Mercedes-AMG GLE 53 at RM2,500. For moving a delegation, the Toyota Alphard Executive Lounge at RM2,000 or the BMW X7 M Sport at RM2,700 — the Alphard is the better car if the passengers are the point, the X7 if the driver is a member of the team.

For project teams needing several cars for weeks at a time, monthly rates apply per car and we can hold a small group of matched vehicles. Tell us the headcount and the duration and we will put a sensible mix together instead of quoting the most expensive thing available.

Delivery, drivers and logistics

Delivery is free across the KL core — office towers, hotels, the lot — and a flat fee to the outer areas and to KLIA and KLIA2, waived on account bookings of three cars or more. For a visiting executive we will deliver to the aircraft arrival time and collect from the departure, so nobody on your team spends an afternoon shuttling a car around.

Drivers can be arranged separately from the car hire for chauffeur-driven bookings. This is common on Range Rover Vogue, Alphard and Rolls-Royce Cullinan bookings, where the passenger should be in the back. Tell us the schedule and we will quote the car and driver together.

Changes happen. Flights move, meetings get added, a two-day booking becomes five. Ring the desk at 9pm; do not sit there trying to work around it. Extensions are handled on the phone and reflected on the invoice; we do not treat a schedule change as a renegotiation.

Insurance, liability and who drives

All cars carry comprehensive insurance. The insurance excess is the amount payable by the renter in the event of a claim, and it varies by car — the ordinary saloons carry a modest figure, the performance cars considerably more. We state the excess for the specific car before the booking is confirmed, in writing.

Every driver must be named. If three people from your team will share a car over a week, we need all three licences before delivery. An unnamed driver at the wheel voids the insurance entirely, which is a much larger problem than the five minutes it takes to send us the documents.

Traffic summonses issued during the hire are recharged to the account with the original notice attached, so you can see what it was and where. We do not add administrative fees on top of a summons.

Events, launches and multi-car bookings

We supply cars for product launches, roadshows, film and photography work, and wedding entourages booked through corporate accounts. For an event, tell us the venue, the date, the number of cars and whether they need to be a matched set or deliberately varied.

Event bookings are worth placing early. A single Saturday in wedding season can absorb most of the premium fleet, and the specific car your creative team has in mind may already be committed. Two weeks of notice makes almost anything possible; two days limits you to what is standing in the yard.

Questions about this service

Can you invoice our company instead of taking a card payment?

Yes. Once an account is set up with your company registration details and a named authorised contact, we invoice against the account with SST itemised. New companies are usually asked for payment on delivery for the first booking or two, after which standard terms apply.

Can several members of our team share the same rental car?

Yes, provided every driver is named and we hold a copy of each licence before delivery. There is no charge for additional named drivers. An unnamed person behind the wheel voids the insurance completely, so please send us all the licences instead of adding someone informally.

Do you provide a driver as well as the car?

We can arrange one separately from the car hire, and for airport collections and senior-guest work we usually recommend it. It is the standard arrangement on Range Rover Vogue, Toyota Alphard and Rolls-Royce Cullinan bookings. Send us the schedule and we will quote the car and the driver together.
